Purpose of the Position : The Admin/Accountant will provide administrative and financial support to project operations by ensuring efficient office management, maintenance of financial records, logistical coordination, and compliance with organizational and donor requirements. Key Responsibilities Administrative Responsibilities • Manage day-to-day office administration and ensure smooth functioning of project operations. • Maintain office records, correspondence, filing systems, and administrative documentation. • Coordinate meetings, workshops, trainings, and official events, including logistical arrangements. • Maintain inventory records, office assets, and equipment registers. • Ensure availability of office supplies and coordinate local procurement requests. • Support travel arrangements, vehicle utilization records, accommodation bookings, and field visit logistics. • Maintain staff attendance records, leave records, and administrative files. • Liaise with local vendors and service providers. • Ensure proper maintenance of office premises, equipment, and project assets. • Support operations and implementation in-terms of proving logistics. • Maintain financial records, cash books, ledgers, vouchers, and supporting documents. • Conduct petty cash management and maintain petty cash records. • Ensure proper filing and archiving of financial documentation. • Monitor advances, settlements, and supporting documentation for field expenditures. • Coordinate with finance, procurement, and project teams regarding administrative and financial matters. Required Qualifications and Experience • Master degree (16 years of education) in Accounting, Commerce, Finance, Business Administration, Management Sciences, or any other relevant discipline from an HEC-recognized institution. • Relevant experience in administration, accounting, finance, or office management, preferably in development sector or donor-funded projects will be an added advantage • Preference will be given to local domicile holders of project targeted districts. • Experience in bookkeeping, financial documentation, and office administration. • Knowledge of accounting principles and administrative management procedures. • Experience in using MS Office applications, particularly Excel and Word.
