Job Purpose The Communication and Data Officer will be responsible for managing project data, preparing reports, documenting project achievements, supporting communication and visibility activities, and strengthening coordination with government stakeholders. The position will ensure timely and accurate reporting of project activities while maintaining high-quality documentation in accordance with organization and donor's requirements. Key Responsibilities Data Management and Reporting • Compile, clean, verify, and maintain project data received from District Coordinators, Vaccinators, Social Mobilizers, and other field staff. • Maintain project databases, activity trackers, monitoring dashboards, and reporting tools. • Prepare weekly, monthly, quarterly, and donor reports as required. • Support analysis of immunization coverage, outreach performance, zero-dose children, HPV activities, and other project indicators. • Ensure timely submission of reports to the Project Manager and support compliance with donor reporting requirements. • Assist in maintaining project records, databases, and documentation in both hard and soft formats. Communication and Documentation • Document project activities through high-quality photographs, videos, beneficiary stories, and success stories. • Prepare communication materials including newsletters, case studies, fact sheets, presentations, and project briefs. • Ensure compliance with Gavi and donor branding, visibility, and communication guidelines. • Manage project social media content and website updates where applicable. • Maintain an organized digital archive of project photographs, videos, reports, and communication materials. Government Coordination • Liaise with District Health Offices (DHOs), Provincial EPI, and other relevant government departments for official correspondence and coordination. • Assist in preparing official letters, notifications, meeting minutes, and follow-up actions. • Support coordination meetings, trainings, workshops, advocacy events, and District Immunization Communication Committee (DICC) meetings. • Maintain records of government approvals, notifications, and project correspondence. Monitoring and Information Management • Support monitoring visits by compiling field data, preparing monitoring tools, and documenting findings. • Verify the completeness and quality of data submitted by field teams. • Assist in tracking project indicators against the Results Framework and Workplan. • Support evidence generation for donor reports, audits, and project evaluations. Administrative Support • Assist in organizing trainings, workshops, advocacy events, and review meetings. • Prepare participant lists, attendance sheets, activity reports, and event documentation. • Maintain filing systems for project documents and correspondence. • Perform any other duties assigned by the Project Manager. Required Qualifications • Bachelor's degree in Public Health, Statistics, Computer Science, Information Technology, Social Sciences, Mass Communication, Development Studies, Business Administration, or a related field. • Master's degree will be considered an added advantage. Experience • Minimum 3 –10 years of relevant experience in data management, project reporting, monitoring, communications, or documentation. • Experience working with NGOs, INGOs, Government, or donor-funded health projects is preferred. • Experience in immunization, public health, or community development projects will be an advantage. Skills and Competencies • Excellent skills in Microsoft Excel, Word, PowerPoint, and Google Workspace . • Strong analytical and data management skills. • Ability to prepare high-quality reports and presentations. • Experience in photography, videography, and project documentation. • Knowledge of social media management and digital communication. • Strong interpersonal, coordination, and communication skills. • Ability to work under pressure and meet reporting deadlines. • Excellent organizational and record management skills. Languages • Fluency in English and Urdu (written and spoken). • Knowledge of Pashto and Balochi will be an added advantage. Key Performance Indicators (KPIs) • Timely submission of weekly, monthly, quarterly, and donor reports. • Accuracy and completeness of project data. • Quality of communication materials and documentation. • Timely preparation of success stories, case studies, and visibility materials. • Quality of coordination with government departments and stakeholders. • Maintenance of complete digital and physical project records. • Compliance with donor branding and reporting requirements. Working Conditions The position is based in Quetta with frequent travel to Loralai, Killa Saifullah, and other project areas . The incumbent may be required to work beyond office hours during trainings, workshops, field monitoring visits, and donor missions.
