Job Title Finance Assistant Reporting to or/supervised by Reports to the Senior Finance Officer Unit Operations Section Finance Duty Station Head Office Purpose The Finance Assistant supports the day-to-day financial operations of the organisation by assisting with financial documentation, transaction processing, record management, reconciliations, budget monitoring support, and financial reporting. The role ensures timely processing of financial records, compliance with organisational policies, donor requirements, and applicable financial procedures while supporting effective financial management across Head Office and field operations. Coordination & Operational Support • Support day-to-day financial operations and accounting activities in accordance with organisational policies and financial procedures. • Prepare, verify, and process payment vouchers, journal vouchers, receipts, invoices, advances, settlements, and supporting financial documentation. • Ensure financial transactions are accurately coded, documented, and processed prior to approval. • Maintain proper financial records and supporting documentation for all financial transactions. • Assist in processing staff advances, travel advances, reimbursements, and settlement documentation. • Support budget monitoring by maintaining expenditure records and budget tracking tools. • Assist in compiling budget utilisation reports, expenditure summaries, and financial updates. • Support preparation of Budget versus Actual (BvA) reports, forecasts, and financial analyses. • Assist the Senior Finance Officer in maintaining project and organisational budget records. • Support preparation of monthly, quarterly, annual, and donor financial reports. • Assist in preparing bank reconciliations and monitoring banking transactions. • Support petty cash reconciliation, cash verification, and maintenance of cash records. • Monitor advances, settlements, receivables, and outstanding balances for timely follow-up. • Support reconciliation of financial records and identification of discrepancies. • Coordinate with programme and operations teams to obtain supporting financial documentation. • Support implementation of financial controls, accounting procedures, and organisational financial policies. • Ensure compliance with donor requirements, financial procedures, statutory regulations, and internal controls. • Immediately report financial discrepancies, irregularities, or compliance concerns to the Senior Finance Officer. • Support internal and external audit processes by compiling required financial documentation and records. • Assist in responding to audit queries and implementing audit recommendations, where assigned. • Support maintenance and updating of financial management systems, accounting records, and financial trackers. • Assist in strengthening financial documentation, reporting systems, and record management processes. • Coordinate regularly with Finance, Administration, Procurement, Programme, Regional Offices, and field teams regarding financial documentation and operational requirements. • Follow up on pending financial documentation, approvals, settlements, and reporting requirements. • Support budget preparation and financial information compilation, where required. • Assist in other finance-related activities to ensure efficient organisational operations. Other Duties • Perform any other duties related to financial management, organisational priorities, or strategic initiatives as assigned by the Director Operations or Executive Office. • Support emergency response and organisational priorities through financial planning and resource mobilisation when required. Qualifications & Experience • Preferably Bachelor's degree in Finance, Accounting, Commerce, Business Administration, or a related field. • Minimum 2–3 years of relevant experience in finance, accounting, bookkeeping, or financial administration, preferably within an NGO, humanitarian, or development organisation. • Good understanding of accounting principles, financial documentation, budgeting, and financial reporting. • Experience in maintaining financial records, preparing vouchers, reconciliations, and supporting audits. • Familiarity with donor financial compliance requirements and financial management systems is desirable. • Proficiency in Microsoft Excel, Word, accounting software, and financial reporting tools. • Strong organisational, numerical, analytical, and communication skills. • Ability to maintain confidentiality, accuracy, and attention to detail while managing multiple priorities.
